Business Growth
A lead conversion system for the leads you already pay for
More enquiries will not rescue a business that loses the ones it has. A lead conversion system is everything between the phone ringing and the job going into the calendar. Who answers, how quickly, what happens when nobody picks up, and who chases the estimate that went quiet on Thursday. We map that, find where it leaks, and rebuild it.
Diagnosis first
Where leads usually leak
These six account for most of the lost work we find. They are listed roughly in the order they cost money.
- 01
The call was missed
Nobody picked up and nobody called back. It is the most common leak and the easiest one to prove, because the phone keeps the record for you.
- 02
The first reply was slow
A form that sits until tomorrow morning is competing against the two businesses that replied this afternoon.
- 03
Nothing happens after hours
Evenings and weekends are when people deal with the house. An inbox that only gets read at nine on Monday has already lost the weekend.
- 04
The estimate was never chased
A quote goes out and then silence on both sides. One structured follow up recovers work that had already been won once.
- 05
Leads live in four places
Calls in a phone, forms in an inbox, messages in an app, notes on a pad. Nothing gets followed because nothing is in one list.
- 06
Nobody knows which source produced the job
Without that, every budget decision is a guess, and sooner or later the channel that was working gets cut by mistake.
What a lead conversion system should measure
Before there is a system, most owners can only say that it feels busy or it feels quiet. Five numbers turn that into a conversation you can act on.
They also settle arguments. A drop in booked work is either fewer leads or worse handling, and these numbers say which one it was.
Time to first response
Whether you are in the running at all
Contact rate
How many of the leads you actually reach
Qualification rate
How many of those are genuine work for your business
Booked rate
Whether the conversation becomes an appointment
Close rate
Whether the appointment becomes a paying job
Source of every lead
Which marketing is paying for itself and which is not
Call tracking, honestly
Call tracking answers a question worth answering. Which advertising made the phone ring. It works by showing a different phone number depending on where the visitor arrived from, then forwarding that call straight through to you.
It also carries a catch that rarely comes up in the sales pitch. Local visibility depends on your business details agreeing with each other wherever they appear. Scatter tracking numbers through your Business Profile and your directory listings and you undermine the consistency your local search presence is built on.
The workable version is simple. Keep one main public number on your Business Profile and your listings, and use tracking numbers on campaign destinations and landing pages, where they belong. Keeping the listings themselves straight is citation management.
Track the channel. Do not scatter your phone number.
It can tell you
Which source produced the call
Attribution for phone calls you would otherwise never be able to trace back to a campaign.
It cannot tell you
Whether the call was any good
That still depends on somebody recording the outcome, which is why the pipeline matters more than the number itself.
It does not fix
A missed call
Tracking measures the leak with great precision. It does nothing at all to close it.
How we work through it
We start by following a real enquiry through your business from the outside, which is usually the moment the problem becomes obvious to everyone.
- 1
Review the lead flow
How enquiries arrive today and exactly what happens next, including the steps nobody has written down.
- 2
Find the gaps
Response time, qualification, follow up, booking and communication, looking for the specific point where people drop out.
- 3
Recommend or build
A structured process, plus the CRM and the tracking to run it where that sits inside your scope.
The right tool depends on the size of the team and the shape of the work, so we start from your process rather than from a product.
What this service does not cover
Guaranteed conversion rates
Sales results depend on your pricing, your market, your team and the customer in front of them. A better process improves the odds. It does not promise a figure.
Selling on your behalf
We design the process, the follow up and the measurement. The conversations with your customers stay with your people, where they belong.
Lead conversion questions
Do I need a CRM for this?
Not always. A small team handling a handful of enquiries a week can run a disciplined process on a shared sheet. A CRM earns its place once the volume, the follow up or the number of people involved makes a sheet unreliable. We help you choose one that suits the business and stay involved in how it is managed.
Will this work with the software we already use?
Usually. The process comes first and most tools can be arranged around a process that is clear. If the tool genuinely cannot do what the process needs, we will say so plainly rather than build a workaround you have to maintain forever.
Is this the same thing as business automation?
They overlap and they are not the same. This page owns the sales process: response, qualification, follow up, booking and the numbers behind them. Business automation owns the workflows that run without anyone, such as reminders, review requests and reactivation.
What if the real problem is that we do not get enough leads?
Then start further up. Marketing consulting or local SEO is the better first conversation, and we would rather say that than sell you a system you are not ready to feed.
